Job Description

Job Summary

The Primary School Receptionist provides frontline administrative and customer service support to ensure smooth and efficient school operations. This role involves managing enquiries, supporting students welfare, and assisting with school events and administrative tasks.

Responsibilities

  • Greet and assist walk-in parents, students, staff, and visitors courteously and professionally to provide excellent frontline reception services
  • Respond promptly to the school's general telephone enquiries to ensure effective communication
  • Monitor and manage the school's generic email account by routing enquiries to appropriate personnel and ensuring timely follow-up
  • Perform administrative tasks including data entry, filing, document preparation, maintaining records and report books, organising stationery for teachers, and managing teachers mailboxes
  • Attend to students who are unwell or injured by providing basic care and first aid, and escalate cases to appropriate school personnel following school procedures
  • Handle situations involving students vomit or soiled clothes with care and discretion
  • Maintain current certification in relevant first aid training as required by the school or Ministry of Education (MOE)
  • Support school operations during events, peak periods, P1 registration, orientation, and other activities as directed by school administration
  • Assist the Goods/Services Receipt Officer (GRO) with goods handling, collection of forms (e.g., class photos), and issuing of items upon request
  • Distribute incoming mail, letters, documents, and messages promptly to teachers and staff
  • Carry out additional duties assigned by School Leaders or the Administration Team to support overall school operations
  • Uphold professionalism, confidentiality, and service excellence in all interactions within the school environment

Required competencies and certifications

  • Maintain certification in relevant first aid training as stipulated by the school or MOE

Preferred competencies and qualifications

  • Minimum GCE O/N Level or Nitec qualification
  • At least 1 year of experience in reception, customer service, or administrative support
  • Experience working in a school setting
  • Comfortable using basic IT software such as MS Office, Excel, and AI tools
  • Knowledge of basic first aid

Other Information

  • Mondays to Thursdays: 7.15am - 4.15pm, inclusive of 30 mins lunch break
  • Fridays: 7.15am - 3.45pm, inclusive of 30 mins lunch break
  • One Friday a month: 9am - 5.30pm, inclusive of 30 mins lunch break
  • Service not required on Saturdays, Sundays, and gazetted public holidays
