Operations Executive

Salling Search is currently recruiting for an Operations Executive for a marine services company. This role manages shipping, port and diving operations across several international locations, and suits someone with strong coordination skills and a solid grasp of maritime regulations and offshore work.

Responsibilities

• Oversee day-to-day operations to make sure diving and marine activities run smoothly
• Plan and coordinate dive schedules, logistics, and the deployment of divers and support vessels for confirmed projects
• Make sure all diving operations follow safety standards and operational procedures, including checking that diving equipment and safety measures are available and ready
• Monitor vessel schedules, ETAs, arrivals and port calls, and track vessel movements using available systems and agent updates
• Coordinate pre-arrival and post-departure formalities with Vessel Masters, agents and port authorities
• Manage vessel turnaround, husbandry services and port logistics
• Work with clients, agents and internal teams to confirm job scope early and keep communication and execution smooth
• Manage and verify shipping and operational documents, including manifests, B/Ls, port clearances, PTWs and permits
• Make sure the company follows port regulations, maritime laws and company standards, and that all boats are licensed, insured and compliant
• Verify crew documentation, including certifications, medicals, contracts and logbooks, and keep accurate records of vessel operations
• Make sure supervisors submit job reports, photos and supporting documents on time, then review and organise them for client submission
• Spot risks or bottlenecks early and put corrective actions in place
• Support the Operations Manager in maintaining performance, safety and compliance standards

Requirements

• Strong knowledge of port procedures, maritime regulations, and documentation (mandatory)
• Bachelor's Degree in Shipping, Maritime, Logistics, or related field
• 2 to 5 years of experience in shipping, port, or marine operations
• Familiarity with diving operations or offshore activities
• Proficiency in MS Office, particularly Excel and Word
• Strong coordination, communication, and problem-solving skills applied to managing multiple operations under pressure
• Willingness to travel as required
