Job description
Responsibilities:
. Provide comprehensive administrative support including calendar management, scheduling, travel arrangements (including tax-related travel tracking), expense reporting, and email/task coordination.
. Maintain departmental correspondence, records, and filing systems.
. Take meeting minutes and assist in follow-up actions as needed.
. Create departmental reports, charts, graphs, and tables to support business reviews and decision-making.
. Monitor departmental budgets and expenditures, raising alerts when necessary.
. Coordinate onboarding activities for new or transferring team members (e.g., laptop setup, mobile phone and AMEX card requests).
. Assist in organizing conferences, team functions, and dinners.
. Perform other administrative duties as assigned.
Requirement:
. Minimum2-3 years of experience in a Team Assistant or Executive Secretary role.
. Proven ability to manage multiple tasks independently with precision and discretion.
. Excellent organizational, time management, and communication skills.
. Professional and tactful in interactions with internal and external stakeholders.
. Advanced proficiency in Microsoft PowerPoint is essential, with the ability to create visually compelling, executive-ready presentations.
. Experience drafting email announcements and internal communications for senior leadership.
. Familiarity with other Microsoft Office tools is a plus.
. Must be able to speak and write mandarin.
. Able to travel
