Administrative Duties
- Handle daily office administrative work and maintain proper filing systems for company documents.
- Prepare, organize, and update correspondence, reports, forms, and internal records.
- Manage incoming calls, emails, and general enquiries.
- Maintain employee records, attendance, leave records, and other HR-related administrative documents.
- Support project teams with documentation, submission forms, and coordination with clients, subcontractors, and suppliers.
- Assist in the preparation of contracts, quotations, purchase orders, delivery orders, and invoices.
- Monitor renewal dates for company licences, permits, insurance, and work passes.
- Maintain office supplies and coordinate general office operations.
Bookkeeping Duties
- Record daily financial transactions accurately in the accounting system.
- Prepare and issue invoices, payment vouchers, receipts, and statements of account.
- Track accounts payable and accounts receivable.
- Follow up on outstanding payments from clients and monitor supplier payment schedules.
- Reconcile bank statements, petty cash, and company expense records.
- Assist in payroll preparation, including salary records, overtime, claims, and other staff payments.
- Maintain proper bookkeeping records for audit and tax purposes.
- Support management and external accountants in month-end and year-end financial closing.
- Ensure all financial records are properly filed and updated.
Construction Industry Support Duties
- Assist in tracking project-related costs, purchases, and subcontractor claims.
- Maintain records of workers, site documents, and project administrative submissions.
- Coordinate with site staff on timesheets, material records, and other project-related paperwork.
