Job Description
1. Front Desk and Communication Services
. Handle counter service and manage telephone enquiries, including attending to calls at the general office and relaying messages to relevant personnel.
. Contact parents and obtain signed slips for early dismissal of students.
. Goods Receiving: Ensure that all items and parcels for distribution are promptly cleared and collected in a timely manner.
. Inform teachers of their deliveries, assist with the filling of Delivery Orders (DOs), and ensure items are correctly collected by the relevant teachers, with DOs signed off by the General Office.
2. Data Entry Work
. Perform data entry work to support various school administrative functions.
. Maintain accurate records of early release of students.
3. Office Organisation and Maintenance
. Housekeep the front desk area to ensure it always remains orderly and professional.
. Manage the issuance and recording of uniforms on loan to students and ensure their timely return in good order.
4. Document Management and Distribution
. Issue Report Books to students based on teachers instructions.
. Issue Graduation Certificates to graduated students.
. Maintain the stationery station by keeping it well-stocked and distributing stationery to staff.
. Keep track of large stationery items loaned in and out.
5. Event and Materials Coordination
Assist with packing items according to classes for distribution, whether for school events or collaterals received from MOE headquarters or external organisations, ensuring an organised and efficient distribution process.
6. Staff Administration Support
Update name labels at staff pigeonholes when new staff join the school.
7. General Administrative Duties
Perform other general administrative tasks as delegated by school management (School Leaders and Admin Managers) to support the smooth operation of daily school activities.
