Job Description

Job Summary:

We are seeking a highly organised, proactive, and customer-focused Sales & Project Coordinator to join our team. This multifaceted role will be instrumental in supporting our sales efforts, ensuring the smooth and efficient execution of projects from initiation to completion, and enhancing our brand's online presence through engaging social media content. You will be the central point of contact for clients and internal teams, coordinating resources, managing schedules, maintaining excellent communication, and contributing to our digital marketing initiatives.

Key Responsibilities:

Sales Support & Customer Communication:

  • Sales Liaison: Act as a primary point of contact for sales inquiries, providing product/service information and guiding customers through the initial stages of their needs.
  • Quotation & Proposal Support: Assist the sales team in preparing and reviewing quotations, proposals, and contracts, ensuring accuracy and completeness.
  • Order Processing: Efficiently process sales orders, ensuring all details are captured accurately in the system.
  • Customer Relationship Management: Build and maintain strong relationships with clients, providing regular updates on project status, addressing inquiries, and resolving any issues promptly and professionally.
  • After-Sales Support: Follow up with customers post-project completion to ensure satisfaction and identify potential for future business.

Project Coordination & Operations:

  • Project Planning & Scheduling: Assist in the development and management of project timelines, schedules, and work plans, ensuring alignment with project goals and client expectations.
  • Material Ordering & Procurement: Coordinate with suppliers and internal teams to ensure timely and accurate ordering and delivery of all necessary materials and equipment for projects.
  • Contractor Management: Arrange for and liaise with contractors, ensuring they are properly briefed on project requirements, schedules, and quality standards. Track their progress and address any on-site issues.
  • Resource Allocation: Monitor and manage project resources, including materials, equipment, and manpower, to ensure optimal utilization.
  • Progress Monitoring & Reporting: Track project progress against established milestones, identify potential delays or issues, and provide regular, clear updates to clients and internal stakeholders. Prepare project status reports.
  • Documentation & Administration: Maintain accurate and organised project documentation, including contracts, invoices, permits, drawings, and progress reports.
  • Quality Control: Assist in ensuring that all project deliverables meet quality standards and client specifications.
  • Problem Solving: Proactively identify and resolve potential roadblocks or challenges that may impact project timelines or outcomes, escalating to management when necessary.

Social Media Content Creation & Management:

  • Content Ideation: Brainstorm and develop creative content ideas for various social media platforms (e.g., Facebook, Instagram, LinkedIn, TikTok), aligning with company branding and marketing goals.
  • Content Creation: Produce engaging and high-quality content, including text posts, images, short videos, and infographics, to showcase projects, services, customer testimonials, and company culture.
  • Scheduling & Publishing: Plan and schedule social media posts using appropriate tools to ensure consistent and timely content delivery.
  • Community Engagement: Monitor social media channels, respond to comments and messages, and engage with our online community to foster positive relationships and brand loyalty.
  • Performance Monitoring: Track and analyze social media performance metrics (e.g., reach, engagement, follower growth) to identify trends, optimize content strategy, and report on effectiveness.
  • Trend Awareness: Stay up-to-date with the latest social media trends, tools, and best practices to keep our content fresh and relevant.

Skills

  • Excellent written and verbal communication skills.
    Fluency in English and Bahasa essential.
    Strong organisational and time management skills with the ability to manage multiple tasks and projects simultaneously.
    Meticulous attention to detail and accuracy.
    Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Proficiency in social media platforms and content creation tools (e.g., Canva, CapCut, basic photo/video editing software).
    Demonstrable portfolio or examples of social media content created (optional but highly recommended for candidates to provide).
