Purchaser cum Project Administrator

A reputable and fast-growing construction firm, recognized for delivering quality projects and maintaining strong operational excellence, is seeking a proactive and detail-oriented Purchaser cum Project Administrator to support both procurement and project coordination functions.
Key Responsibilities
Purchasing Management
- Manage, plan, and oversee procurement processes across projects, ensuring compliance with company policies and procedures
- Evaluate sourcing options based on cost, quality, durability, and environmental considerations
- Source and procure materials to achieve optimal pricing, timely delivery, and required standards
- Maintain and update a comprehensive database of purchasing cost information for analysis and reference
- Prepare and issue purchase orders and related documentation with accuracy and in line with contractual requirements
- Generate procurement reports, providing key insights and performance metrics
- Collaborate with logistics, suppliers, and internal stakeholders to ensure smooth delivery and receipt of goods
- Work closely with project managers, quantity surveyors, and other team members to align procurement with project needs
Project Administration
- Prepare, organize, and manage project documentation, including contracts, purchase orders, and reports
- Coordinate and schedule meetings, including preparation of agendas and recording of minutes
- Monitor project progress to ensure milestones, deadlines, and deliverables are met
- Handle submissions and ensure timely coordination and responses from relevant parties
- Support project closeout processes and ensure all administrative requirements are completed
- Act as a key liaison between internal teams, facilitating effective communication
- Maintain regular communication with clients, addressing queries and providing updates
- Liaise with vendors, subcontractors, and suppliers to ensure timely delivery and proper documentation
- Assist in managing project financials, including invoice processing, payment tracking, and expense recording
- Maintain organized records of all project-related documentation (digital and physical)
- Track contracts and amendments, ensuring compliance with agreed terms
- Update and maintain project and vendor records
- Support accounts data entry, including recording supplier invoices and verifying invoices against purchase and delivery orders
- Perform general administrative duties such as filing, scanning, and record management
- Undertake additional administrative, accounting, or project-related tasks as assigned
Requirements
- Diploma in construction
- 2 years of experience in the construction industry
- Proven experience in procurement and project administration, preferably within construction or a related sector
- Strong knowledge of procurement processes, including sourcing, negotiation, and supplier management
- Strong negotiation and stakeholder management abilities
