Job Description

Project Coordinator

Scope

1. Project planning and coordination

-Develop and maintain project plans, timelines, and milestones

-Help allocate resources effectively to meet project deadlines

-Monitor task assignments and ensure timely completion of deliverables

2. Communication & Stakeholder management

-Serve as the primary role of contact for project-related communication

-Coordinate between internal teams, vendors, and clients to ensure smooth execution

-Organise regular project meetings, prepare meeting agendas, and take minutes

-Share project updates with stakeholders and team members

3. Vendor & Supplier Coordination

-Liaise with vendors and suppliers to ensure timely delivery of products and services

-Monitor and track vendor performance, ensuring that they meet deadlines and quality standards

-Resolve any issues or delays in vendor deliveries in collaboration with the technical team

4. Budget & Expense Management

-Assist in preparing and tracking project budgets and expenses

-Ensure that project costs stay within budget and report any discrepancies

-Process invoices, purchase orders, and vendor payments

5. Documentation & Reporting

-Maintain project documentation, including contracts, schedules, and reports

-Prepare weekly and monthly status reports summarizing project progress, risks, and issues.

6. Resource & Schedule Management

-Track and update project schedules, ensuring that milestones and deadlines are met

-Coordinate resource allocation, ensuring that team members have the tools and materials required for their tasks

7. Administrative Support

-Provide administrative support to the project team, including scheduling meetings and organizing logistics

Qualifications

1. Diploma or Degree holder

2. Strong organizational and multitasking abilities

3. Excellent written and verbal communication skills

4. Familiarity with Microsoft Office Suite

5. Basic understanding of budgeting and financial tracking

6. Ability to work under pressure and handle multiple priorities

7. Strong attention to details and accuracy

8. Knowledge of computing information, networking and/or telecommunications
