Job Description

Key Responsibilities

1. Project Coordination

  • Support the Project Manager and site team in daily administrative tasks
  • Coordinate meetings, site visits, and project schedules
  • Liaise with subcontractors, suppliers, and consultants on documentation and updates

2. Document Control

  • Maintain and organize project documents (drawings, contracts, permits, reports)
  • Ensure proper filing, version control, and distribution of documents
  • Track submissions, approvals, and correspondences

3. Procurement & Billing Support

  • Assist in raising purchase orders and tracking deliveries
  • Verify invoices against work done or materials supplied
  • Coordinate with finance on billing, claims, and payment follow-ups

4. Reporting & Records

  • Prepare weekly/monthly progress reports
  • Maintain records of manpower, attendance, and site activities
  • Track project milestones and update status reports

5. Compliance & Permits

  • Assist in submission of permits and regulatory documentation
  • Ensure compliance with safety and statutory requirements
  • Maintain records for audits and inspections

6. Communication

  • Act as a point of contact between office and site team
  • Handle email correspondence and official documentation
  • Support client and consultant communications

Requirements

  • Diploma/Degree in Business Administration, Construction Management, or related field
  • 1-3 years of experience in construction or project administration
  • Proficient in Microsoft Office (Excel, Word, Outlook)
  • Familiarity with document control systems is an advantage
  • Good organizational and communication skills
