Main responsibilities

Practice management

  • Regular practice planning with lawyers to review client work.
  • Efficient use of precedent databases for research, pitches, proposals, presentations and deal bibles.
  • Amend documents and draft correspondence, ensuring accuracy and compliance with firm standards.
  • Prepare documents, presentations and pitch materials undertake research and analysis.
  • Maintain robust file management, including email filing.
  • Manage, track and coordinate WIP, debtors and billing with the relevant associate/partner, including monthly billing processing (e.g., time edits, rate changes, third-party payer set-up).
  • Work with Financial Management to issue timely, accurate invoices.
  • Planning and circulating monthly evening roster duties.
  • Deliver ad hoc projects and tasks as required by the team.

Diary / Travel management

  • Active diary management and gatekeeping, including travel and resourcing. Coordinate meetings and training (rooms, invitations, resources, catering), including cross-time-zone scheduling.
  • Prepare travel and briefing packs (flights, hotels, transfers, maps, client information, itinerary).

Communications Management

  • Communicate directly with clients, screen calls and route enquiries appropriately.
  • Monitor and manage inboxes prioritise, re-route and draft responses to reduce volume.

Business Development / Marketing

  • Drive actions from client relationship plans (e.g., schedule monthly calls, follow up).
  • Build networks and strong working relationships with stakeholders and client EAs/PAs.
  • Maintain commercial awareness of the practice and key clients.
  • Attend client meetings as needed to strengthen relationships and capture actions.
  • Research and prepare client intelligence for pitches and marketing.
  • Prepare client packs (reports, analytics and research).
  • Create and amend animated/graphical PowerPoint presentations.
  • Keep Interaction up to date coordinate lawyer updates and route to CSH.
  • Coordinate and support client events (venues, invites, resources, seating, comms, presentations).
  • Attend events to assist with welcoming and registration.

Risk and Control: Ensure that all activities and duties are carried out in full compliance with our regulatory requires and internal policies.

About you

  • Demonstrable experience as a Legal Secretary.
  • High degree of initiative, pro-activity and practical problem-solving skills, with a willingness to take ownership for the completion of tasks / projects and deliver innovative solutions to improve systems or work practices.
  • Commercial acumen, with the ability to understand the commercial drivers of a legal practice, interpret data and apply client knowledge when supporting partners with practice management.
  • A client focused approach including the ability to grow a network of professional relationships with counterparts in client organisations as well as with internal stakeholders and colleagues around the firm.
  • Excellent organization manages competing demands and shifting priorities.
  • Strong written communication skills and keen attention to detail, with the ability to draft correspondence, presentations, pitch documents and slide packs efficiently and accurately.
  • Discreet and maintains strict confidentiality.
  • Strong research skills (including advanced internet research) and exposure to business development.
  • Strong understanding of billing procedures and and working knowledge of Elite 3E / a similar billing system.
  • Advanced level skills in MS Word, Outlook, PowerPoint and Excel.
