Job Summary
Provide full spectrum of secretarial support to the General Manger and manage an efficient office.
Job Responsibilities
- Schedule meetings & appointments for General Manager with internal/external parties and ensure that the General Manager's calendar is updated and well organized.
- Administrate day-to-day office operation by providing prompt and effective secretarial support and maintaining confidentiality at all times to the General Manager.
- Manage personal calendars, meetings, appointments and business travel arrangements. This will also include travel arrangements for Senior Management of the Branch.
- Manage the General Manager's business claims and other travel expenses, and coordinate with Finance/Accounting accordingly for the timely processing of payments.
- Handle logistic arrangements for visitors, including flights and hotel accommodation for visitors prior to and during their visits
- Update and properly maintain / keep record of files (both electronic and physical) for the General Manager.
- Organize monthly management meetings and taking minutes during Management Meetings.
- Prepare and coordinate the submission of regular and adhoc reports to Head Office, including preparation of powerpoint slides.
- Other duties or ad hoc projects as and when assigned.
AML/CTF Responsibilities
- Support frontline and adhere to anti-money laundering / counter terrorist financing requirement and sanction risks controls in accordance with regulatory standards and CNCBI policies.
Job Requirements
- Diploma and above
- Minimum 5years secretarial and administrative work experience
- Proficient in both English and Mandarin with the ability to read and write English and Chinese reports for Head office
- Highly organized with strong attention to detail and ability to manage multiple tasks
