Position Overview
The Personal Assistant to the Group CEO provides high-level administrative, operational and coordination support to ensure the smooth and efficient management of the CEO's daily activities and strategic engagements.
This role requires a highly organised, discreet and proactive professional who can manage confidential matters, coordinate across multiple business units, and support senior-level decision-making processes within a fast-paced corporate environment.
Job Responsibilities
Executive Support
- Provide comprehensive administrative and secretarial support to the Group CEO.
- Manage the CEO's calendar appointments, meetings, and travel arrangements.
- Prioritise and coordinate daily schedules to ensure optimal time management.
- Prepare meeting materials, take minutes for meetings, briefing notes, reports and presentations when required to.
Communication & Coordination
- Act as the primary liaison between the CEO and internal stakeholders including senior management, department heads and external partners.
- Screen calls, emails and correspondence, ensuring timely responses and follow-ups.
- Coordinate internal meetings, board discussions and executive-level engagements.
- Liaise with external clients, suppliers and internal staff.
Project & Business Support
- Assist the CEO in monitoring key projects and strategic initiatives across the Group.
- Prepare presentations, summary reports, business updates and follow-up action lists from meetings.
- Coordinate cross-functional activities between different departments and subsidiaries.
Confidential & Administrative Matters
- Handle highly confidential and sensitive information with professionalism and discretion.
- Maintain organised filing systems, documents and records for the CEO's office.
- Manage expense claims, documentation and administrative requirements.
Event & Travel Coordination
- Coordinate corporate events, executive meetings, and external engagements.
- Arrange domestic and international travel itineraries including logistics and accommodations.
- Provide on-site support for high-level meetings and events when required.
Job Requirements
Education & Experience
- A Levels / Diploma / Degree in Business Administration, Management or related field.
- Minimum 3-5 years of experience supporting senior executives or C-suite leaders.
- Prior experience in corporate or fast-paced business environments is preferred.

- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Experience in supporting CEOs in SMEs or MNCs, coordinating business projects or strategic initiatives and/or corporate governance are advantageous.
