Responsibilities:
- Manage the executive's daily schedule, including appointments, meetings, for the Directors and families.
- Maintain accurate and up-to-date records of purchases, deliveries, invoices, and payments.
- Prepare detailed purchase reports, including cost comparisons and analyses.
- Prepare and submit expense claims with accuracy and timeliness.
- Maintain records of expenses transactions and assist with basic bookkeeping tasks.
- Liaise with internal departments and external stakeholders professionally and efficiently.
- Draft, review, and translate documents and communications in English and Mandarin.
- Collating and filing expenses.
- Anticipate the executive's needs and provide proactive support.
- Other miscellaneous tasks to support the Director.
Requirements:
- Minimum Diploma or Degree in Business Administration or a related field
- At least 5 years of relevant working experience as a Personal Assistant or in an administrative support role
- Proficiency in spoken and written English, with the ability to communicate effectively in Mandarin
- Strong organizational and time management skills, with attention to detail
- High level of discretion, integrity, and professionalism
- Proficient in Microsoft Office Suite and other productivity tools
- Ability to work independently and handle confidential information with care
- Skilled in sourcing products through various channels, including social media platforms.
