Job SummaryWe are seeking a highly organized, proactive, and professional Executive Assistant to provide comprehensive administrative and strategic support to the CEO. The successful candidate will play a critical role in ensuring the CEO's schedule, communications, and priorities are effectively managed while maintaining the highest level of confidentiality and professionalism.
Key Responsibilities
1. Executive Support
Provide high-level administrative support to the CEO.
Manage and coordinate the CEO's calendar, appointments, and meetings.
Prepare meeting materials, presentations, reports, and briefing documents.
Take meeting minutes and follow up on action items when required.
2. Communication & Coordination
Act as a key point of contact between the CEO and internal/external stakeholders.
Screen and manage emails, calls, and correspondence on behalf of the CEO.
Draft and review business correspondence, reports, and presentations.
3. Meeting & Event Management
Organize board meetings, executive meetings, and business events.
Coordinate meeting logistics including venue arrangements, travel, and documentation.
Ensure proper documentation and follow-up of key decisions and actions.
4. Travel Management
Arrange domestic and international travel for the CEO including flights, accommodation, transportation, and itineraries.
Ensure travel schedules are well planned and optimized.
5. Project & Administrative Support
Assist in special projects, research, and strategic initiatives as assigned by the CEO.
Track progress of key projects and ensure timely follow-up with relevant stakeholders.
Maintain organized filing systems and confidential records.
6. Confidentiality & Professionalism
Handle sensitive information with strict confidentiality and discretion.
Represent the CEO professionally in interactions with partners, clients, and senior executives.
7. Livestream & Media Support
Provide dedicated backend support for the CEO's live broadcasting and media commitments.
Assist with pre-stream preparation, including scheduling, technical checks, and coordinating guest logistics.
Manage backend operations during live sessions, such as monitoring the feed, moderating chats, or coordinating in real-time with the wider production team to ensure a seamless broadcast.
Requirements
Bachelor's degree in Business Administration, Management, or a related field preferred.
Minimum 5 years of experience as an Executive Assistant or in a similar role supporting senior executives.
Excellent organizational and time-management skills.
Strong communication and interpersonal skills.
High level of professionalism, integrity, and discretion.
Ability to multitask and work effectively in a fast-paced environment.
Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
Familiarity with, or a strong willingness to learn, backend livestreaming platforms and basic digital media workflows.
Experience supporting C-level executives or board members.
Prior experience in event planning or event management will be an advantage.
