The Personal Assistant provides comprehensive administrative, operational, and client-coordination support to the Mortgage Broker. This role is critical in ensuring smooth daily operations, timely loan processing, accurate documentation, and high service standards for clients, banks, and internal stakeholders.
Key Responsibilities
1. Administrative & Operational Support
1) Manage the Mortgage Broker's daily schedule, appointments, and follow-ups
2) Handle emails, calls, and messages with clients, banks, lawyers,
3) Loan Processing & Documentation
4) Assist in preparing and compiling mortgage application documents
5) Ensure completeness and accuracy of financial documents (income proof, CPF statements, bank statements, etc.)
6) Track application status and follow up with banks, lawyers, and valuers
7) Maintain updated records of loan cases, approvals, and disbursements
8) Client Coordination & Service
9) Act as a primary point of contact for clients during the loan process
10) Schedule client meetings and property completion timelines
11) Provide timely updates to clients on loan status and required actions
12) Ensure professional, responsive, and confidential handling of client information
13) Coordinate with banks, legal firms, property agents, and developers
14) Follow up on outstanding documents, valuations, and legal matters
15) Support completion, refinancing, repricing, and redemption cases
Requirements & Qualifications
Diploma or equivalent experience in banking, mortgage, or real estate preferred
Strong organizational and time-management skills
High attention to detail and accuracy
Good communication skills (written and verbal)
Proficient in Microsoft Office / Google Workspace
Ability to handle confidential information with discretion
Able to work independently and manage multiple cases concurrently
