Oversee day-to-day operations of the aesthetics clinic to ensure excellent patient experience, regulatory compliance, safe clinical practice, efficient use of resources, and profitable growth.
Act as the link between clinical staff, medical director, vendors, and administrative teams.
Primary responsibilities Operations & administration
- Manage daily clinic operations: opening/closing, appointment flow, scheduling, and patient intake processes.
- Develop and enforce standard operating procedures (SOPs) for front desk, treatment rooms, and back-office functions.
- Ensure accurate patient records, consent forms, and confidentiality.
Clinical oversight & compliance
- Ensure all treatments are delivered under appropriate medical supervision and in accordance with local laws/regulations and clinic protocols.
- Maintain up-to-date clinical licenses, certifications, and continuing education records for staff.
- Oversee infection control, sterilization, waste disposal, and safety protocols; coordinate routine audits and incident reporting.
Staff management & training
- Create training plans (clinical procedures, customer service, product knowledge, sales), and run regular competency assessments.
- Conduct performance reviews, coaching, disciplinary actions, and team-building activities.
Customer experience & sales
- Ensure high-quality patient consultations, follow-ups, and after-care procedures.
- Drive patient retention and referral programs; supervise upselling and package programs while ensuring ethical practice.
- Handle escalated patient complaints and resolve issues promptly.
Financial & business management
- Prepare and manage clinic budget, control costs, and optimize resource utilization.
- Track sales, revenue, profitability by service/product, and implement initiatives to meet targets.
- Oversee billing, payment processing, and coordination with accounting.
Inventory, equipment & vendor relations
- Manage inventory of consumables, retail products, and reorder processes to avoid stockouts/excess.
- Schedule and coordinate maintenance/calibration for lasers and other equipment; maintain service logs.
- Negotiate and manage supplier and vendor contracts.
Quality assurance & growth
- Implement quality improvement initiatives, track outcomes and patient satisfaction metrics.
- Collaborate on marketing plans, community outreach, social media strategy, and promotional campaigns with marketing lead.
- Support introduction of new services or technologies, including workflow integration.
