Scope of Operations
a) Procurement Integration
- Convert Sales Orders into POs (SO PO DO flow).
- Track supplier timelines, deposits, production lead time, and container readiness.
- Maintain order accuracy ( 90% target in 2025 Q1).
b) Container & Logistics Flow
- Monitor supplier shipment schedules (4-6 week cycles).
- Receive PSA Notice of Arrival (NOA) and trigger logistics planning.
- Auto-route 60% deliveries via EasyRoute manage the 40% requiring CSS coordination.
- Upload DOs, packing lists, photos, and confirm delivery completion.
c) Systems & Department Integration (New Focus)
- Test and deploy Shopify apps that integrate workflows across departments (Procurement, Logistics, Finance, CSS, Sales).
- Target 80% minimum integration so each department is linked via Shopify as the golden source.
- Run pilot tests for apps (e.g., PO creation, landed-cost allocation, delivery slotting, finance sync) and measure adoption.
- Identify gaps where manual SOPs still apply, and propose automation options.
d) Customer & CSS Support
- Update customers on delivery slots, reschedules, or product issues.
- Bridge between Ops and CSS: CSS handles escalations, Ops provides backend accuracy.
- Feed recurring product/delivery issues back into SOPs.
E) Improvise workflow
Build, update, and maintain SOPs for:
- Refund posting,
- PO approval,
- Container handover,
- Delivery scheduling.
- HR keeps SOP Drive current, Ops ensures daily adherence.
