Job Description

What You'll Be Doing (Driving Operational Excellence)

As our Operations Executive, you'll be the linchpin that keeps our daily manpower logistics flowing smoothly, efficiently, and accurately. Your core responsibilities will be:

  • Roster Strategy & Execution: Prepare and continually adjust daily operational rosters, strategically allocating manpower based on availability and complex site needs.
  • Real-Time Deployment Control: Serve as the immediate liaison, coordinating with officers and supervisors to manage attendance, oversee shift changes, and execute urgent redeployments.
  • Critical Absence Management: Track and process last-minute call-outs, leave, and MCs instantly, updating core scheduling systems and spreadsheets to maintain 100% staff visibility.
  • Ground Visibility & Audit: Follow up directly with field staff to ensure the timely reporting and swift resolution of any deployment discrepancies.
  • Financial Data Integrity: Collate crucial daily attendance and overtime data to directly support the preparation of accurate manpower cost summaries.
  • Billing & Payroll Assurance: Maintain meticulous deployment records and logs that provide the necessary documentation to ensure payroll and monthly client billing accuracy.
  • Onboarding Logistics: Manage the administrative rollout for new hires, including preparing onboarding documentation, coordinating uniform issuance, and detailing initial deployment instructions.
  • Compliance Record Management: Maintain comprehensive and updated staff records, meticulously tracking license validity, certifications, and training logs to ensure regulatory compliance.
  • HR Liaison & Support: Coordinate with the Human Resources department on operational matters like officer attendance, prolonged absences, and documentation for minor disciplinary tracking.
  • Standardization & Readiness: Assist in the preparation of key operational documentation, including comprehensive site folders, deployment Standard Operating Procedures (SOPs), and internal audit checklists.
  • Document Control: Ensure all operational documents-such as regulatory licenses, site activity logs, and incident forms-are properly filed, controlled, and kept up-to-date.
  • Urgent Communications: Act as the critical pipeline for relaying time-sensitive deployment updates and emergency information between site leadership and the central operations team.

Who You Are (Your Awesome Qualities!)

  • 2+ years in a dynamic operations or scheduling role.
  • Expert in Roster Management and handling real-time staff changes.
  • Strong Excel/Data Skills for accurate payroll/billing support.
  • Proven ability to resolve operational issues under pressure.
  • Focus on Compliance (licenses, certifications).
  • Excellent communication and coordination skills.
  • Diploma/Degree in Operations or Business is preferred.
