Position: Operations Executive (Projects & BusinessCoordination)

The business is supported by our in-house construction and carpentry teams, allowing us to maintain strong control over quality and execution.
Role Overview
We are looking for a highly organized and driven Operations Executive to support the business across marketing, sales, and project execution.
This role is not a typical admin position. You will act as the central coordinator of the company-ensuring that plans are executed, timelines are met, and information flows smoothly across all functions.
You will work closely with the Director to track performance, coordinate teams, and ensure the business operates efficiently and delivers results.
Key Responsibilities
1. Business & Operations Coordination
- Track and coordinate activities across marketing, sales, and project teams
- Ensure tasks are completed on time and follow-ups are carried out
- Identify delays or bottlenecks and escalate when necessary
2. Reporting & Performance Tracking
- Prepare weekly reports on:
- Leads generated and conversion rates
- Project progress and timelines
- Key operational metrics
- Provide clear summaries to management for decision-making
3. Project & Cost Coordination
- Support project team in tracking timelines and deliverables
- Assist in compiling quotations, costing, and procurement tracking
- Liaise with suppliers, contractors, and internal teams
4. Financial & Administrative Support
- Assist in tracking project costs and basic financial records
- Work with external accountants where required
- Ensure documentation and records are properly maintained
5. System Implementation & Process Improvement
- Ensure company workflows and systems are followed consistently
- Help improve processes to increase efficiency and reduce errors
Requirements
- Diploma or Degree in Business, Construction Management, or related field
- 2-5 years of experience in operations, project coordination, or similar role
- Experience in construction / renovation industry is a strong advantage
- Basic understanding of costing, budgeting, or accounting principles
- Highly organized, detail-oriented, and proactive
- Strong communication skills and ability to coordinate across teams
- Able to work independently and handle multiple responsibilities
