About the Role

Ensure smooth day-to-day operations and maintain an organized, efficient, and welcoming office environment for AIA Holdings Pte. Limited. This role is pivotal in supporting employees, managing facilities, and coordinating events to foster a productive and engaging workplace.

Key accountabilities

  • Oversee the daily functioning of the office to ensure a seamless work environment.
  • Always maintain office space organization and cleanliness.
  • Manage seating arrangements and office layout for various teams.
  • Organize and execute health and wellness initiatives for employees.
  • Coordinate and manage employee engagement events (e.g., Christmas, Chinese New Year).
  • Administer vendor contracts and maintain accurate filing systems.
  • Oversee company car maintenance, including servicing, rentals, and insurance.
  • Manage security and access for employees and visitors.
  • Conduct Day 1 office orientation for new employees, including facilities overview and introductions.
  • Monitor inventory and order office supplies (stationery, pantry items) to ensure availability.
  • Organize timely festive decorations for the office.
  • Continuously review and improve office processes for efficiency and cost-effectiveness.


Key stakeholders

  • Real Estate & Facilities Management: arrange provision of furniture, co-ordinate access cards, courier services, lighting.
  • HR: coordinate wellness activities and other events for employees.
  • IT: manage and maintain office equipment, including printers, copiers, and other equipment.
  • Business Continuity Management: assist with business continuity management activities, including disaster preparedness planning and emergency response.


Minimum Job Requirements

  • University degree with at least 5 years of relevant experience.
  • Strong communication, interpersonal, analytical, and problem-solving skills.
  • Ability to manage tight deadlines and handle sensitive/confidential matters.
  • Highly organized, resourceful, and independent in a fast-paced environment.
  • Collaborative team player with resilience and adaptability.
  • Proficient in MS Office and related applications.
