Job Summary
Support the Nursing Department by managing administrative, coordination, and documentation tasks to ensure smooth operations, regulatory compliance, and quality resident care in the nursing home.
Responsibilities
- Maintain and update nursing records, policies, and documentation to comply with Ministry of Health (MOH) requirements
- Ensure accuracy, completeness, and audit readiness of departmental files such as training records and audits
- Prepare documentation and support processes for internal and external audits
- Coordinate training schedules for internal and external staff to ensure timely completion
- Maintain training records, competency checklists, and certification tracking for nursing staff
- Liaise effectively with external training providers to facilitate staff development
- Assist in daily ward administrative operations to support nursing workflows
- Schedule residents medical appointments and follow-ups to ensure continuity of care
- Coordinate communications among multi-disciplinary teams to support collaborative care
- Assist in communication with residents and next-of-kin to provide updates and support
- Organize care conferences and family meetings to facilitate care planning and engagement
- Track and manage nursing-related supplies and equipment to maintain operational readiness
- Support requisition processes and maintain accurate documentation for supplies
- Ensure adherence to nursing home policies and regulatory guidelines in daily operations
- Perform ad-hoc administrative tasks as assigned to support department needs
Preferred competencies and qualifications
- Certificate in Business Administration, Diploma/Degree in Healthcare Administration, or equivalent
- Minimum 2 to 3 years relevant experience, preferably in healthcare
- Proficient in Microsoft Office applications to manage documentation and communication
- Strong organizational skills to manage multiple tasks efficiently
- Good interpersonal skills to liaise with staff, residents, and external providers
- Ability to multitask effectively in a dynamic healthcare environment
- Able to work on-site in Bukit Merah
