Job Description

Our client is part of a market leader in the Shipping industry, they are actively hiring for an IT Procurement Lead to oversee the full lifecycle of the organization's software assets. This role involves establishing governance practices, managing budgets, and supporting procurement and vendor engagements across a portfolio of SaaS and on-premise software.

Working closely with technical and business teams, the role ensures that software usage aligns with operational needs, cost efficiency, and organizational policies.


Key Responsibilities

1. Process Development and Governance

  • Develop, document, and implement software asset management policies and procedures.
  • Establish consistent workflows covering software requests, approvals, procurement, deployment, and retirement.
  • Support adherence to organizational standards for procurement, risk management, and information security.
  • Review and enhance processes regularly to improve efficiency and reduce delays.

2. Budget Management and Cost Optimization

  • Monitor and manage software-related expenditure, including tracking against approved budgets and providing regular reports.
  • Engage with business units to understand current and future software requirements.
  • Identify opportunities to optimize license usage, including reallocating unused licenses where appropriate.
  • Support cost allocation practices to improve transparency across departments.

3. Vendor and Contract Management

  • Support commercial discussions with software vendors for renewals and new purchases.
  • Work with stakeholders to understand requirements and evaluate suitable solutions.
  • Identify opportunities to streamline tools and reduce duplication across the organisation.

4.Procurement and Stakeholder Communication

  • Prepare business justifications for software investments and renewals.
  • Coordinate procurement processes and ensure relevant approvals are obtained.
  • Provide guidance to stakeholders on licensing models, costs, and available options.
  • Prepare summary reports to support decision-making by management.

5. License Management and Compliance

  • Maintain accurate records of software assets, including contracts and entitlements.
  • Coordinate license allocation and provisioning through relevant systems.
  • Support compliance with licensing agreements and organizational policies through regular reviews.

Qualifications and Experience

  • At least 5 years of relevant experience in Software Asset Management, IT procurement, or IT operations (or comparable experience).
  • Experience in developing or improving operational processes.
  • Familiarity with software licensing models, including SaaS environments.
  • Ability to analyse budgets and present financial or operational information clearly to stakeholders.
  • Strong communication and stakeholder engagement skills.
  • Relevant certifications (e.g. Software Asset Management, IT service management, or related fields).
  • Experience using data analysis
  • tools (e.g., spreadsheets or reporting tools) for tracking and reporting.
  • Familiarity with managing software licenses through administrative platforms.
