Job Description

Our client is the IT arm of a large shipping MNC, they are looking to hire a seasoned IT professional to manage the firm's software assets and ensuring compliance across a portfolio of SaaS and on-premise applications. This role will work very closely with technical and business teams to align operational needs with commercial considerations and maintaining effective governance and financial oversight of software usage.

Key Responsibilities

1. Process Development and Governance

  • Develop, document, and implement Software Asset Management (SAM) policies and procedures.
  • Establish consistent workflows for software requests, approvals, procurement, deployment, and retirement.
  • Support adherence to organizational guidelines related to procurement, security, and software usage.
  • Review and improve processes regularly to enhance efficiency and reduce manual effort.

2. Budget Management and Cost Optimization

  • Monitor and manage the software licensing budget, including tracking actual spend against forecasts.
  • Work with stakeholders to assess and plan licensing needs for renewals and business growth.
  • Identify opportunities to optimize license usage, including reallocating underutilized licenses.
  • Support cost allocation practices to ensure transparency across departments or cost centers.

3. Vendor and Contract Management

  • Support and participate in software procurement and renewal discussions with vendors.
  • Collaborate with stakeholders to understand business requirements and align them with organizational objectives.
  • Identify opportunities to streamline tools and reduce duplication across the organization.

4. Procurement and Stakeholder Communication

  • Prepare documentation and business justifications for software-related investments.
  • Coordinate procurement processes and facilitate stakeholder reviews and approvals.
  • Provide guidance to internal stakeholders on software licensing, cost considerations, and available options.
  • Develop reports and summaries to support informed decision-making by management.

5. License Management and Compliance

  • Maintain accurate and up-to-date records of software assets, contracts, and entitlements.
  • Support license allocation and provisioning through relevant administrative platforms.
  • Monitor compliance with licensing agreements and terms of service through regular checks.

Qualifications

  • Relevant experience in Software Asset Management, IT procurement, or IT operations.
  • Experience in developing or improving organizational processes.
  • Familiarity with SaaS licensing models and cloud-based software environments.
  • Ability to analyse budgets, interpret data, and communicate insights clearly to stakeholders.
  • Good communication and stakeholder management skills.
  • Relevant certifications (e.g., Certified Software Asset Manager, ITIL Foundation, or similar).
  • Proficiency in spreadsheet tools (e.g., Excel or Google Sheets) and data reporting.
  • Experience working with software administration platforms for license management.
