Job Summary
We are seeking a proactive and detail-oriented HR Executive to manage onboarding, support blue-collar recruitment, coordinate training, and act as a HR Business Partner to operational teams. This role is key in ensuring smooth onboarding (including work pass administration), meeting manpower needs, and providing day-to-day HR support aligned with business objectives.
Key Responsibilities
1. Onboarding, Work Pass & Employee Setup
- Manage end-to-end onboarding for new hires, including documentation, orientation, and coordination with internal stakeholders
- Prepare employment contracts, onboarding documents, and HR forms
- Handle work pass applications (Work Permit, S Pass, EP), including submission, renewal, cancellation, and compliance with MOM regulations
- Create and maintain employee personal files (physical and electronic)
- Ensure accurate and timely entry of employee data into HRMS/HRIS
- Coordinate onboarding logistics (e.g., IT access, uniforms, workspace readiness)
- Conduct onboarding/induction to ensure smooth employee integration
2. Blue-Collar Recruitment
- Manage full recruitment cycle for blue-collar/workforce roles
- Source candidates via job portals, agencies, referrals, and walk-ins
- Screen candidates, conduct interviews, and coordinate hiring decisions
- Work closely with hiring managers to meet manpower needs and timelines
- Liaise with recruitment agencies and monitor hiring effectiveness
- Track and achieve recruitment targets
3. Training & External Course Coordination
- Coordinate external training programs to support operational and compliance needs
- Arrange logistics including registration, schedules, and vendor coordination
- Maintain training records and monitor staff participation
- Support certifications and regulatory training requirements
4. HR Business Partnering (HRBP)
- Act as a point of contact for line managers on HR-related matters
- Support workforce planning and manpower deployment with operations teams
- Provide guidance on HR policies, procedures, and best practices
- Handle employee relations matters (e.g., feedback, minor grievances, disciplinary coordination)
- Monitor employee engagement, attendance, and ground issues, especially for blue-collar workforce
- Support performance management processes (e.g., probation review, confirmation)
- Partner with managers to identify training and development needs
5. HR Administration & Compliance
- Maintain accurate and updated HR records and employee data
- Ensure compliance with company policies and labour/work pass regulations
- Support audits, reporting, and HR initiatives/projects
Requirements
- Diploma or Degree in Human Resource Management or related field
- 2-4 years of HR experience (with exposure to recruitment, onboarding, and HR operations)
- Experience in work pass administration and blue-collar recruitment preferred
- Familiarity with HRMS/HRIS systems
- Strong organizational, communication, and stakeholder management skills
- Ability to work in a fast-paced, operational environment
Preferred Skills
- Knowledge of Singapore MOM regulations and employment practices
- Experience supporting operations teams as HRBP
- Exposure to training coordination or workforce development programs
