Job Summary
We are looking for a motivated and detail-oriented HR Executive cum Account Assistant to support both our Finance and Human Resources departments. This dual-role position includes managing daily accounting transactions, assisting in monthly financial closings, and handling a wide range of HR operations such as payroll, recruitment, work pass applications, and employee engagement initiatives. The ideal candidate will be capable of multitasking effectively, maintaining accuracy, and meeting deadlines in a dynamic work environment.
Key Responsibilities
Accounting & Finance
- Assist the Finance Manager with daily accounting functions and monthly financial closing activities.
- Process and submit claims for government grants.
- Handle government-related surveys, statistical submissions, and compliance reporting.
- Monitor and manage insurance coverage for office and warehouse premises.
Human Resources & Administration
- Manage the full spectrum of HR and administrative functions, including internal meetings, staff events, and office upkeep.
- Administer monthly payroll processing, CPF contributions, IR21 tax clearance, and IR8A submissions.
- Maintain HR documentation such as personal files (P-files), leave records, and staff exit procedures.
- Ensure timely applications, renewals, and cancellations for Employment Passes (EP), S Passes (SP), Work Permits (WP), and Letters of Consent (LOC).
- Coordinate recruitment activities: shortlist candidates, schedule, and conduct interviews.
- Update and maintain HR policies, employee handbook, and Standard Operating Procedures (SOPs).
- Manage employee insurance coverage and liaise with insurance providers when needed.
- Maintain accurate attendance records and monitor leave entitlements.
- Oversee office facilities, company assets, and inventory management.
- Support ad-hoc HR and administrative initiatives and projects.
Requirements
- Diploma/Bachelor in Accounting, Business Administration, or related discipline.
- Proficient in Microsoft Office Suite (especially Word and Excel).
- Experience with Navision (Microsoft Dynamics NAV) accounting software is an added advantage.
- Strong analytical, organizational, and problem-solving skills.
- Ability to work independently under pressure and manage multiple deadlines.
- Excellent communication and interpersonal skills.
- A proactive team player with a positive attitude.
