Job Description

Job Summary

We are seeking a dedicated and detail-oriented HR Executive / HR Assistant to support our Human Resources team in managing the full spectrum of HR functions. The role involves recruitment, onboarding, payroll administration, employee engagement, and compliance with HR policies and regulations.

Key Responsibilities

1. Recruitment & Selection

  • Post job advertisements on various platforms.
  • Screen applications and arrange interviews.
  • Coordinate interview schedules with hiring managers.
  • Prepare job offers and employment contracts.

2. Onboarding & Offboarding

  • Prepare new hire documentation and conduct orientation.
  • Maintain employee personal files and HR system records.
  • Manage employee exit process including clearance and exit interview.

3. Payroll & Benefits Administration

  • Assist in monthly payroll processing (attendance, overtime, claims, deductions).
  • Administer staff benefits including leave, medical, and insurance.
  • Ensure compliance with statutory contributions (CPF / SDL, SHG funds, etc.).

4. HR Administration & Employee Relations

  • Draft HR letters (confirmation, transfer, promotion, warning, termination).
  • Handle employee enquiries on HR matters, policies, and benefits.
  • Support staff welfare, engagement activities, and training programs.
  • Assist in disciplinary matters and maintain proper records.

5. Compliance & Reporting

  • Ensure compliance with local labour laws and company policies.
  • Maintain and update HR policies and procedures when required.
  • Prepare HR reports and assist in audits when necessary.

6. Other Duties

  • Support ad-hoc HR projects and initiatives.
  • Provide general administrative support to the HR department.

Requirements

  • Diploma / Degree in Human Resource Management, Business Administration, or related field.
  • Prior experience in HR function preferred (HR Assistant: 0-2 years, HR Executive: 2-5 years).
  • Familiar with employment laws and HR practices.
  • Proficient in MS Office (Word, Excel, PowerPoint).
  • Good interpersonal and communication skills.
  • Meticulous, organized, and able to handle confidential information.
