HR & Admin Executive
Position Summary
We're looking for a proactive & versatile HR & Admin Executive to join our HR team. Working closely with the HR Manager, you will be responsible for managing a broad range of HR and administrative functions. This is a hands‑on role where versatility, attention to detail, and initiative are essential. A critical aspect of the position is the ability to handle sensitive and confidential information with the highest level of discretion, ensuring that employee and company data is safeguarded at all times.
Key Responsibilities
Human Resources
- Manage end-to-end HR processes including recruitment, onboarding, training, employee relations, and offboarding.
- Maintain and update employee records and HRIS with accuracy and confidentiality.
- Maintain and update leaves and time attendance records
- Handle work-pass related matters (applications, renewals, transfers, appeals) and ensure compliance with MOM regulations.
- Prepare payroll and overtime inputs using Opensoft System.
- Support employee benefits administration
- Coordinate training programs, manage training budgets and track participation.
- Drive employee engagement and retention initiatives.
- Support performance appraisals and staff development.
- Address employee concerns, disciplinary matters, and grievances.
- Draft, update, and maintain HR policies, employee handbook, and SOPs.
- Ensure compliance with QEHS audits, statutoryrequirements, and company policies.
Administration
- Manage stationery and pantry orders to ensure smooth office operations.
- Liaise with landlord on arrangement of foreign workers housing and ensure timely monthly rental payments.
- Review and renew employee benefits insurance policies, including foreign worker insurance & WICA.
- Coordinate with external vendors such as insurance brokers, auditors, and training providers.
- Support general office administration and workplace safety compliance.
Requirements
- Diploma in Human Resource Management or related discipline.
- Minimum 3 years of HR experience, preferably in a generalist role.
- Ability to communicate effectively in both English and Mandarin, as the role requires regular liaison with Mandarin-speaking only operators during onboarding, offboarding, and other employment matters.
- Strong knowledge of Singapore employment legislation, eg MOM, CPF, IRAS
- Proficient in MS Office, HR systems and adept at leveraging AI and digital productivity tools to enhance efficiency.
- Excellent interpersonal and communication skills.
- Meticulous, organized, and able to handle confidential information with discretion.
- Strong documentation skills for policies, reports, and compliance records.
- Adaptable and resourceful, with the ability to manage multiple responsibilities in a lean HR team.
