HR & Admin Executive

Role Summary

The HR & Admin Executive is responsible for managing a wide range of human resources and administrative functions. The role covers recruitment, payroll support, staff records, employee and corporate insurance renewals, and compliance with employment regulations, while ensuring smooth day-to-day office operations.

Key Responsibilities

Human Resources

  • Assist in the full recruitment cycle: job posting, screening, arranging interviews, and onboarding.

  • Maintain and update employee records, contracts, and personal files.

  • Handle leave administration, attendance, and staff movement tracking.

  • Assist in payroll preparation and submission of government claims, and statutory contributions.

  • Manage employee-related insurance (e.g., medical, GPA, work injury), including renewals, enrollments, and claims.

  • Support performance appraisal exercises and training coordination.

  • Handle staff queries regarding HR policies, benefits, and procedures.

  • Organize staff engagement activities and welfare programs.

Administration

  • Manage office supplies, service contracts, and vendor coordination.

  • Maintain company documents, licenses, and filing systems (physical & digital).

  • Oversee company-wide insurance renewals (e.g., office/property, liability, vehicle, equipment).

  • Liaise with insurers/brokers on coverage, policy updates, and claims management.

  • Support management in preparing letters, reports, and meeting coordination.

  • Handle travel arrangements, office facilities, and general administrative duties.

  • Ensure compliance with company policies and local regulatory requirements.

Requirements:

  • Diploma/Degree in Human Resources, Business Administration, or related field.

  • 2+ years of HR and administrative experience (insurance administration experience preferred).

  • Familiar with HR regulations.

  • Proficient in MS Office HRIS/payroll software experience preferred.

  • Strong organizational and multitasking skills with attention to detail.
