Job Description

Position Overview

The Guidance Counsellor Executive supports the school's university guidance and admissions advisory programme by working directly with students on their university applications and preparation processes. Reporting to the Head of Guidance Counselling, this role plays a key part in delivering high-quality counselling support, ensuring students are well-prepared for applications to universities in Singapore, the United Kingdom, Hong Kong, Australia, and other global destinations.

The role focuses on student-facing counselling, application support, documentation review, and execution of counselling processes in alignment with the school's university guidance framework.

Key Responsibilities

University Admissions Support & Student Counselling

  • Provide one-on-one counselling support to students on university applications and academic planning.
  • Guide students on university options, course selection, and admissions requirements across Singapore, UK, Hong Kong, Australia, and other destinations.
  • Assist students in developing application materials including personal statements, resumes/CVs, and supporting documents.
  • Review and provide feedback on application drafts under the guidance of senior counsellors.
  • Track student application progress and ensure deadlines and requirements are met.
  • Support students in understanding admissions timelines, entry requirements, and scholarship opportunities.

Application Administration & Coordination

  • Maintain accurate records of student applications and supporting documents.
  • Coordinate submission timelines and ensure completeness of application packages.
  • Assist in managing university application platforms (e.g., UCAS, Common App, institutional portals where applicable).
  • Liaise with students, parents, and internal staff to gather required documentation.

Student & Parent Engagement

  • Support delivery of university planning workshops and information sessions.
  • Respond to student and parent queries regarding admissions processes and requirements.
  • Provide clear and timely communication regarding application updates and next steps.
  • Assist in conducting group advisory sessions under supervision.

University & External Liaison Support

  • Support coordination of university visits, talks, and admissions events.
  • Assist in communication with university representatives when required.
  • Help maintain updated information on admissions policies, programme requirements, and scholarship opportunities.

Collaboration & Internal Support

  • Work closely with the Head of Guidance Counselling and senior counsellors to implement counselling frameworks and best practices.
  • Collaborate with academic staff to support student readiness for university applications.
  • Contribute observations on student application trends and common challenges.

Requirements

  • Bachelor's degree in Education, Counselling, Psychology, Social Sciences, or a related field.
  • Prior experience in education, student advisory, counselling, or academic administration (experience in international schools is an advantage).
  • Familiarity with international university admissions systems (Singapore, UK, Hong Kong, Australia preferred).
  • Strong written and verbal communication skills.
  • Good organisational skills and attention to detail.
  • Ability to work with students from diverse cultural backgrounds.

Preferred Attributes

  • Exposure to university admissions counselling or higher education advising.
  • Familiarity with IB, A-Level, AP, or equivalent academic systems.
  • Strong interpersonal skills and student-first mindset.
  • Ability to manage multiple deadlines in a structured environment.
  • Willingness to learn and grow within a counselling team.
