About Sugarsmith

Sugarsmith is a Singapore-based boutique dessert company specializing in handmade character macarons including Official Sanrio character macaorns using premium ingredients like Japanese matcha and Valrhona Chocolate.

We collaborate with brands like Sanrio for adorable ande delicious bakes, aiming to deliver magical, creative desserts globally.

We're seeking an exceptional Executive Secretary to support our leadership in a dynamic, innovative environment.

Position Summary

Provide high-level administrative support to the CEO and executive team in a fast-paced creative business. Anticipate needs, manage priorities, and ensure operational efficiency with discretion and proactive problem-solving.

Key Responsibilities

  • Manage CEO's calendar, travel, meetings, and confidential correspondence prepare agendas and follow up on actions.
  • Serve as liaison between executives, teams, and external partners (e.g., suppliers, collaborators like Sanrio).
  • Oversee office operations, supplies, events (e.g., product launches), and filing systems track budgets.
  • Coordinate projects like flavor collaborations or expansions research and compile data.
  • Organize events and manage stakeholder relationships to promote Sugarsmith's brand.
  • Anticipate issues, propose solutions, and improve processes.
  • Maintain compliance and handle sensitive information discreetly.

Qualifications and Skills

  • Ideally 2+ years as an executive assistant/secretary, ideally in consumer goods or food industry. (Non-experienced applicant welcomed to apply)
  • Bachelor's degree / Diploma in Business, Communications, or related field (or equivalent experience). (Only Diploma and above need apply)
  • Exceptional organization, communication, and time-management skills.
  • Proficient in Microsoft Office, Google Workspace, and tools like Calendly/Asana.
  • Strong interpersonal skills, discretion, and adaptability enthusiasm for desserts a plus.
  • Fluent in English Mandarin/other languages advantageous for liaison with suppliers. Flexible hours for events.
