Why this role

This role has responsibility to provide coordination and advanced administrative support to the APM Area Leaders in addition to oversight and coordination related to the KONE Area office in Singapore. The role will support APM leaders, primarily those based in Singapore.

What will you be doing

Executive support

  • Forward planning, management and coordination of Area meetings and events in conjunction with EVP, APM Leaders and global leaders
  • Coordinates APM ACT and APM Leadership Meeting agendas, summarizes action items and follows up actions post meetings, may attend as needed
  • Manage and support group meeting coordination across multiple time zones in conjunction with multiple business stakeholders
  • Creates and maintains APM Team sites in conjunction with APM/Global Communications, including update of distribution lists, publishing news items and management of regular items such as announcements. Completes content review and update on annual basis.
  • Supports Leaders to process invoices, purchase orders and other cost management processes and activities
  • Manages the corporate travel agency relationship, coordinates addition and removal of traveler profiles in relevant systems, manages vendor performance, escalates nonperformance and communicates key changes to KONE travelers.
  • Monitors, reviews, and approves standard expenditures to ensure that activities are conducted within established budgets and approvals.
  • Prepare and collate Area presentation materials, reports and any other assigned documentation, including QBR, agendas, minutes and other documents
  • Supports onboarding plans for new APM Leaders with respective managers and stakeholders
  • Handles confidential information and maintains security of confidential company records and files.

Events Management

  • Support planning and organization of onsite and offsite meetings for Customers, Employees or other stakeholders including proactive planning of programmes and activities, venues, invitations, transport, meals, invitations, budget, Purchase Orders and invoice management
  • Supports leaders with organizing employee and customer events, including Townhalls and virtual and physical meetings to ensure they run smoothly

Are you the one

  • Strong communication skills, verbal and written and ability to communicate effectively with senior stakeholders and employees in English.
  • Degree holder with at least 10 years of related experience like administrative, coordination or administrative management experience
  • Advanced skills in Microsoft Products, including Office, Outlook , Word, Powerpoint, Excel, TEAMS and PowerBI, would be an advantage.
  • Highly organized, strong attention to detail, comfortable to manage across time zones and can understand how to prioritize based on business need
  • Has a positive, pro-active, service and collaborative mindset, resourceful and able to complete task independently to defined timelines
  • Experience working in an Multi National Company and enjoys a multi-cultural work environment
