What the day will look like

  • Provide proactive and comprehensive administrative support to multiple C-suite executives and various senior leaders.
  • Manage complex calendars, schedule appointments, coordinate meetings, and organize events across multiple time zones and shifting priorities.
  • Coordinate travel arrangements, logistics and submit expenses for the executives in a timely manner.
  • Plan and coordinate logistics for meetings, conferences and events.
  • Act on behalf of executives in delegated tasks and confidential matters, exercising sound judgment and discretion.
  • Plan and coordinate social activities to promote engagement and team cohesion.
  • Provide support for center-wide initiatives and events.
  • Uphold the highest level of professionalism and confidentiality at all times.
  • Manage multiple priorities, respond to shifting demands and support special projects as assigned.
  • Maintain various management lists, organizational charts and reports.
  • Support business continuity planning and related activities.
  • Establish and maintain an organized and efficient system for document filing and retrieval.
  • Manage procurement of business cards, corporate/employee gifts, process invoices and handle IT requests.
  • Prepare and manage highly confidential correspondence, presentations, reports, and other essential documents.
  • Assist in the onboarding of new hires.
  • Provide general administrative support to the center as needed.

How this opportunity is different

The Executive Assistant (EA) provides high-level administrative support to C-suite & Senior Leadership. This dynamic role requires exceptional organizational skills, attention to detail, effective communication abilities and the utmost discretion in handling confidential information.

Skills and experience that will lead to success

  • Minimum 5 years of experience in an executive assistant or similar role, supporting senior-level executives.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and generally proficient with other business technology/software tools.
  • Strong organizational and time management skills with the ability to multitask and prioritize effectively.
  • Excellent verbal and written communication skills.
  • High level of discretion and confidentiality.
  • Proactive and resourceful problem solver with strong attention to detail.
  • Ability to work independently as well as collaboratively in a team environment.
  • Flexible and adaptable to changing priorities and demands.
