Job Description

Purpose of the Role

The Executive Assistant reports to the HR Manager and supports the HR Manager and Principals with daily administrative duties, family-related matters, simple data entry, and ad-hoc tasks. The role requires discretion, reliability, and initiative to ensure smooth day-to-day operations.

Key Responsibilities

Executive & Family Support

  • Assist with schedules, appointments, and family-related arrangements.

  • Coordinate with family members, vendors, schools, and service providers when needed.

  • Handle personal and family matters with confidentiality and care.

Administrative & EA Support

  • Manage calendars, emails, documents, and filing.

  • Prepare basic documents, reports, and presentations.

  • Arrange travel and logistics when required.

Data Entry & Excel Support

  • Perform simple data entry tasks accurately.

  • Maintain and update basic Excel spreadsheets and trackers.

Ad-Hoc & Project Support

  • Assist with ad-hoc tasks and projects assigned by the HR Manager or Principals.

  • Track follow-ups and ensure tasks are completed on time.

Communication & Professionalism

  • Liaise with internal and external parties as needed.

  • Handle sensitive information with professionalism and discretion.

Key Skills & Expectations

- Experience as an Executive Assistant or similar role.
- Proficient in Excel with strong data entry accuracy.
- Good working knowledge of Excel for tracking and data entry tasks.
- Organized, proactive, and able to multitask.
- Trustworthy, discreet, and reliable.
- Good communication skills.

Success Measures

  • Daily tasks and family matters are handled smoothly.

  • Administrative and data entry work is accurate and timely.

  • The HR Manager's and Principals workload is well supported.

  • Confidentiality and consistency are maintained.
