Job Description

Key Responsibilities

1. Client Management

  • Attend to client enquiries and understand event needs, objectives, budget, theme, and preferences.
  • Prepare event proposals, quotations, timelines, and planning schedules.
  • Conduct client meetings, venue visits, and planning discussions.
  • Maintain clear and professional communication with clients throughout the planning process.
  • Provide recommendations on décor, programme flow, vendors, logistics, and cost control.

2. Event Planning and Coordination

  • Plan and coordinate all event details, especially for weddings, including:venue setupdécor and stylingcatering coordinationprogramme flowentertainmentguest experiencetransport and logisticsactual day scheduling
  • Prepare detailed event run sheets, checklists, floor plans, and contingency plans.
  • Ensure all event elements are aligned with the client's requirements and approved budget.
  • Support planning for non-wedding events when required.

3. On-Site Event Execution

  • Oversee event setup, rehearsal, and actual day operations.
  • Coordinate all parties on-site to ensure smooth execution.
  • Troubleshoot issues quickly and professionally during the event.
  • Ensure the event runs according to timeline, standards, and client expectations.
  • Handle last-minute changes and operational problems calmly and effectively.

4. Administrative and Reporting Duties

  • Maintain proper records for each event, including contracts, quotations, invoices, schedules, and client notes.
  • Monitor event budgets and highlight cost overruns or operational risks early.
  • Prepare post-event reports, client feedback summaries, and improvement points.
  • Support internal reporting on event status, pipeline, and completion

Job Requirements

Education and Experience

  • Diploma or Degree in Event Management, Hospitality, Marketing, Business, or related field preferred.
  • At least 1-3 years of relevant experience in event planning, wedding coordination, hospitality, or client servicing.
  • Fresh candidates with strong internship exposure or event coordination experience may also be considered for junior roles.

Skills and Competencies

  • Strong organisational and coordination skills.
  • Good communication and interpersonal skills.
  • Ability to manage multiple events, deadlines, and stakeholders at the same time.
  • Strong attention to detail and problem-solving ability.

  • Able to work independently as well as with internal teams.

Technical and Operational Requirements

  • Proficient in Microsoft Office, especially Excel, Word, and PowerPoint.
  • Comfortable preparing schedules, quotations, planning documents, and reports.
  • Familiarity with vendor coordination, event logistics, and timeline planning.
  • Willing to work on weekends, public holidays, and extended hours when events require.

Preferred Qualifications

  • Experience in wedding planning and actual day coordination.
  • Existing network of wedding or event vendors is an advantage.
  • Knowledge of banquet, hospitality, décor, or F&B event operations is a plus.
  • Experience handling both planning and on-ground execution.
