Role Purpose
The Deputy Home Manager (Administration) supports the Home Manager in managing administrative functions, facilities, and program coordination to ensure operational efficiency and compliance with MSF audit requirements. The role focuses on administrative oversight, resource coordination, and facilities management to provide a safe and conducive environment for residents.
Key Responsibilities
Program & Event Coordination
- Coordinate with Program Executive and Volunteer & Youth Development Department to plan and execute age-appropriate programs for residents.
Compliance & Documentation
- Ensure all MSF audit documents and SOPs (except case management) are updated and ready for quarterly internal audits.
- Manage Executive Officers work assignments to meet submission deadlines for finance, CEO, and board approvals.
Facilities & Estate Management
- Coordinate with DI /DIL estate management staff to ensure timely execution of facilities and estate-related projects.
- Maintain facilities to the highest safety and cleanliness standards for residents.
- Manage the role of Fire Safety Management (FSM) for DI/DIL
Administrative Oversight
- Provide weekly progress reports during Darul Ihsan Operations (DIO) meetings.
- Coordinate work schedules of support staff.
- Conduct weekly contact time with the team to gather feedback.
Job Requirements
Minimum Qualifications:
- Diploma or Degree in Social Work, Psychology, Counselling, Early Childhood, Social Services, Business Administration, or related field.
- At least 5 years relevant experience in social service, residential care, or related operational/administrative management roles.
Preferred Experience:
- Supervisory experience in managing teams in a residential care setting.
- Knowledge of MSF regulations, child protection policies, and residential care standards.
- Experience in program management, facilities management, or audit compliance (depending on role).
Additional Requirements:
- Strong interpersonal skills and ability to work with diverse teams.
- Proficiency in Microsoft Office and operational management systems.
- Ability to work flexible hours, including weekends and public holidays when required.
