Job Description:
The Customer Service Executive is responsible for freight quotations, bookings, cargo requirement checks, invoicing, and lead generation across global networks and emerging markets.Job Scope: Customer Service Executive (Air Freight)
1. Customer Engagement
Serve as the rst point of contact for customer inquiries.Understand shipment requirements and provide tailored air freight solutions.Maintain professional communication throughout the quotation and booking process.
2. Quotation & Rate Sourcing
Prepare accurate and competitive quotations based on shipment specs.Source rates from airlines, co-loaders, and overseas agents.Negotiate spot rates and maintain updated rate sheets.
3. Cargo Requirements & DG Checks
Verify cargo classication (e.g. Dangerous Goods) and handling needs (e.g. pivot loading, temperature control).Coordinate with DG specialists to ensure proper documentation and compliance.Advise customers on packaging, labelling, and regulatory requirements.
4. Airline Booking
Book cargo space directly with airlines.Conrm ight schedules, routing, and space availability.Resolve booking discrepancies and rebooking needs.
5. Invoicing & Billing
Generate and send invoices based on conrmed bookings.Ensure billing accuracy and follow up on payments.
6. Troubleshooting & Exception Handling
Manage disruptions such as ight ooads, airport strikes, or embargoes .
Coordinate alternative solutions and communicate proactively with clients.Escalate critical issues to operations or management when needed.
7. Lead Generation & Market Outreach
Source contacts from global freight alliances (e.g. World Cargo Alliance) and initiate outreach for potential collaborations.Identify and engage local sea freight players to explore cross-modal opportunities andpartnerships.Research and target new markets, especially emerging trade lanes or underserved regions.Maintain a lead database and track engagement outcomes.Support sales team by forwarding warm leads and insights from outreach efforts.
8. Documentation Support
Prepare rate conrmations, booking summaries, and quotation templates.Ensure all customer-facing documents are accurate and professionally formatted.
9. Internal Coordination
Handover conrmed shipments to operations with full cargo and booking details.Collaborate with sales, pricing, and nance teams to align on strategy and execution.
