Job Description

Overview:

The incumbent will play an administrative support role in strengthening NTUC Women and Family Unit's (WAF) capacity to influence policy, drive advocacy, and create awareness across various platforms. You will execute advocacy, communication and stakeholder initiatives. This will involve ensuring the smooth coordination of meetings, events, documentation, and day-to-day operations, supporting the team's mission to advance the interests of women workers and caregivers.

Key Responsibilities:

Policy & Research Support

  • Assist in gathering and compiling data on policies and issues affecting women workers and caregivers.
  • Support preparation of policy briefs, reports, and presentations.
  • Maintain organised records, research materials, and references for ongoing projects.

Stakeholder Engagement Support

  • Provide administrative and logistical support for meetings with internal and external stakeholders (e.g., unions, government agencies, employers).
  • Handle scheduling, agenda preparation, minutes-taking, and follow-up actions.
  • Maintain stakeholder contact lists and update databases regularly.

Communication & Outreach Support

  • Assist in drafting simple communication materials such as emails, meeting notes, eDMs and newsletters.
  • Provide administrative support in managing WAF's outreach platforms and campaigns.
  • Coordinate logistics for awareness activities, including participant registration and distribution of materials.

Event & Programme Coordination

  • Organise logistics for events, workshops, and advocacy campaigns (venue booking, catering, materials preparation, liaising with vendors).
  • Support on-site event management including registration and participant enquiries.
  • Ensure proper documentation of programme outcomes and feedback.

General Administrative Support

  • Manage scheduling, correspondence, and filing systems for the team.
  • Process claims, procurement requests, and budget-related administration.
  • Provide day-to-day office and operational support to ensure smooth running of unit activities.

Requirements

  • Degree or Diploma in Business Administration, Communications, or related field.
  • At least 2–3 years of relevant experience in administration or coordination.
  • Strong interest and understanding of issues and challenges of working women
  • Good organisational and time management skills with attention to detail.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and digital tools.
  • Strong interpersonal and communication skills to liaise with diverse stakeholders.
  • Possess strong analytical and problem-solving skills
  • Has an outgoing personality and enjoy interacting with people from all walks of life
