Role Overview
We are looking for a reliable and organized Administrative Executive to manage our day-to-day office operations. In this role, you will be the backbone of our workplace, handling general office administration, managing office supplies, and providing general logistical support to ensure a smooth, comfortable, and efficient working environment for the team.
What You'll Do
. Oversee the daily upkeep, cleanliness, and overall organization of the office environment.
. Serve as the main point of contact for building management and office maintenance vendors (e.g. air-conditioning servicing, plumbing, office repairs).
. Manage office security access systems, and office keys for staff.
. Handle incoming and outgoing mail, courier arrangements, and parcel distribution.
. Welcome and assist visitors and guests arriving at the office.
. Monitor and replenish office stationery, pantry supplies, snacks/beverages, and printing materials.
. Liaise with regular office vendors (e.g. cleaning services, water suppliers, printing vendors) and coordinate invoice/bill submissions accurately to the finance team.
. Provide general administrative and ad-hoc operational support when required.
What We're Looking For
. 1-3 years of experience in office administration, administrative support, or general affairs. Entry-level candidates with a proactive attitude are also welcome to apply.
. Diploma or equivalent qualification.
. Basic proficiency in Microsoft Office applications (Word, Excel, Outlook).
. Good organizational skills with strong attention to detail.
. Good written and spoken communication skills in English.
. Proficiency in written and spoken Mandarin is required to liaise with Mandarin-speaking vendors, associates, and regional stakeholders.
. Friendly, dependable, and a team player who is willing to assist with miscellaneous tasks when needed.
