We are looking for a proactive and organized Administrative Coordinator to support our Facilities Management (FM) team in daily operations and documentation for ACMV maintenance services.
Key Responsibilities
- Prepare administrative documents such as reports, quotations, purchase orders, and service contracts
- Coordinate meetings, maintenance schedules, and appointments with clients and internal teams
- Maintain proper filing systems for service reports, contracts, invoices, and documentation
- Handle reception duties including calls, visitors, and general enquiries
- Prepare and submit daily/weekly operational reports
- Respond promptly to emails and correspondence
- Track service schedules, documentation, and deadlines
- Provide general administrative support to the FM team
Requirements
- Diploma in Business Administration or related field
- Good communication and interpersonal skills
- Strong organizational and multitasking abilities
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Detail-oriented with strong documentation accuracy
- Able to work in a fast-paced environment
- Knowledge of ACMV systems is an advantage
- Experience in administrative roles preferred
