The HR Admin Executive plays a pivotal role in ensuring compliance and smooth administration of driver and bus aids management processes within ComfortDelGro Bus and Medcare. This role supports multiple stakeholders by ensuring timely, accurate, and well-governed HR operations, while owning the end-to-end lifecycle of employee records to ensure operational readiness.
Key Responsibilities
Own and ensure end-to-end compliance for driver and bus attendant Work Permit, BDVL/BAVL processes, including timely application, renewal, IPA processing, medical check-ups, and ATC coordination
Track and monitor Work Permit quota, and provide insights to support recruitment prioritisation
Ensure timely and accurate updates across internal and external systems during onboarding and offboarding (e.g. SAP, FMS, AIA portal, MHC panel, MOM portal)
Prepare and issue HR-related documents including Letters of Employment (LOE), long service awards, retirement plaques, and exemplary awards
Maintain proper documentation and ownership of employee personal files (P-files) in shared repositories
Monitor validity of Work Permits, BDVL/BAVL to ensure zero lapse and support proactive renewal and contract planning
Manage WICA submission processes and follow through on claims where required
Coordinate and track accommodation lease renewals for Work Permit holders
Support audits and ensure full compliance with MOM regulations and company policies
Qualifications & Requirements
Minimum Diploma with at least 5 years of relevant working experience, or Degree in Human Resource / Business Administration
Proficient in Microsoft Office familiarity with SAP, MOM portal, or HR systems is an advantage
Detail-oriented with strong organisational and administrative skills
Good communication and coordination skills to work with multiple stakeholders
