Job Summary
We are seeking a reliable and detail-oriented Administrative Assistant to support daily operations, ensuring smooth administrative workflows and effective coordination within a dynamic team environment.
Responsibilities
- Enter data accurately and maintain up-to-date records and databases
- Manage intra-group calls, emails, and general correspondence to ensure timely communication
- Process orders, prepare invoices and quotations, and track sales and administrative activities
- Organise physical and digital filing systems and manage document submissions to government authorities such as ACRA, MOM, and IRAS where applicable
- Provide logistical support for meetings, events, programmes, and team activities to ensure smooth execution
- Assist with office supply management, scheduling, and general administrative tasks to support office efficiency
- Support the finance team by preparing reports, following up on tasks, and coordinating activities
- Complete ad-hoc tasks assigned by the supervisor to meet operational needs
Preferred competencies and qualifications
- Minimum NITEC or Diploma in Business Administration, Secretarial Studies, or related field
- 0-2 years of relevant experience fresh graduates and junior candidates are welcome
- Proficient in Microsoft Office applications including Word, Excel, Outlook, and PowerPoint
- Ability to communicate effectively in spoken and written English for clear internal and external interactions
- Additional language skills (e.g., Mandarin) are advantageous for some roles
- Demonstrated organisational skills with attention to detail and a proactive, positive approach
- Ability to work independently and collaboratively within a team
