Project Administrator / Project Specialist (EPC / E-House Projects)

Overview
NES Fircroft is partnering with a leading global engineering organization to hire a Project Administrator / Project Specialist to support project execution within E-House projects across Oil & Gas, Petrochemical, and Power sectors.
This role will work closely with Project Managers and Controllers to ensure smooth coordination, documentation, cost tracking, and project delivery within timeline and budget.
Key Responsibilities
Project Coordination & Execution
- Support Project Managers in daily project execution and coordination activities
- Track planned vs actual project performance and highlight variances
- Assist in preparation of project reports, dashboards, and presentation decks
- Coordinate internal teams and ensure timely execution of assigned work packages
Cost Control & Invoicing
- Support project cost tracking and update financial data in SAP or project systems
- Monitor invoicing milestones and ensure timely billing submissions
- Follow up with clients on payment status when required
- Assist in cost adjustments and financial reporting under supervision
Procurement & Vendor Coordination
- Process supplier and subcontractor invoices in line with project requirements
- Coordinate with vendors on delivery schedules and documentation
- Support logistics activities including shipping documentation and tracking
Site & Resource Coordination
- Coordinate field engineer site visits and verify contractor timesheets
- Liaise with internal teams to ensure manpower alignment with project needs
Planning & Scheduling
- Support project planning activities and schedule updates
- Track billing milestones and ensure adherence to timelines
- Assist in maintaining project schedules using internal tools
Documentation Management
- Maintain accurate project documentation and ensure compliance with procedures
- Coordinate with document controllers to manage project records
- Support preparation of final documentation and project close-out
Stakeholder Communication
- Communicate effectively with internal stakeholders across project teams
- Support project meetings and document key actions and updates
Health, Safety & Compliance
- Ensure adherence to company policies, procedures, and HSE standards
- Support identification and mitigation of project-related risks
Requirements
- Minimum 3 years of experience in project coordination / project administration within EPC, Oil & Gas, Power, or Engineering environment
- Strong knowledge of SAP (mandatory) for project and cost tracking
- Proficient in Microsoft Office (Excel, Word, PowerPoint, SharePoint)
- Experience in project invoicing, cost tracking, and documentation management
- Familiarity with project planning tools (MS Project or similar) is an advantage
- Strong coordination and communication skills
- Ability to manage multiple stakeholders and deadlines effectively
- Prior experience in EPC / E-House / infrastructure projects is preferred
