Job Description
We are seeking a highly organised, proactive, and service-oriented Administrative Assistant to support our Private Banking teams and selected department heads across the Bank.
This is a dynamic and varied role that plays an important part in ensuring smooth daily operations, supporting internal stakeholders, and contributing to the successful delivery of client and company activities.

KEY RESPONSIBILITIES
In the course of carrying out the above responsibilities, you will be expected to be able to independently: -
- Provide comprehensive administrative support to Market Heads, department heads and the wider Private Banking team
- Manage calendars, schedule meetings, coordinate travel, and prepare meeting materials
- Assist other department heads with travel booking, logistics, and general administrative support as needed
- Support the organisation and administration of company events, internal meetings, team engagements, and client activities
- Serve as a key point of contact for internal teams and, where appropriate, clients
- Prepare correspondence, presentations, reports, and client communications
- Maintain accurate records, files, and client data in internal systems
- Handle confidential information with the highest level of professionalism and discretion
- Assist with ad hoc projects and process improvements as required
- Work closely with marketing and communications team on marketing campaigns for clients including managing gifts and entertainment budgets
- Assist with ad hoc projects, process improvements and other tasks as assigned
WE ARE LOOKING FOR
To be effective and successful in this position, you should:-
- Minimum Diploma or equivalent experience preferred
- Min 3 - 6 years of experience in administrative or executive support, ideally within financial services, private banking, or wealth management
- Strong organizational and time-management skills with excellent attention to detail
- Professional, polished communication skills (written and verbal)
- High level of integrity and discretion when handling sensitive information
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint); experience with banking systems is an advantage
- Ability to manage multiple priorities and work under pressure
- A collaborative, dependable, and service-minded approach
- Strong interpersonal skills and a client-service mindset
