Overview

We are seeking a proactive and detail-oriented Administrative Assistant (Operation) to support our printing and delivery operations. The successful candidate will play a key role in coordinating parcel packing, consignment handling, invoicing, and delivery arrangements for both normal and VIP customers. This role requires strong problem-solving skills, coordination ability, and self-discipline to ensure timely and accurate support for our logistics and administration functions.

Key Responsibilities:

Parcel & Delivery Coordination

i. Coordinate and oversee parcel packing, labelling, and consignment note preparation.

ii. Arrange and track deliveries for normal and VIP customers, ensuring timely completion.

iii. Work closely with production and delivery teams to ensure smooth and accurate order dispatch.

Documentation & Records

i. Create and manage invoices for completed printing jobs, ensuring accuracy in billing details.

ii. Prepare and manage Delivery Orders (DO) and ensure timely handover for delivery.

iii. Maintain organized and accurate delivery and invoice records using Google Sheets.

Communication & Problem-Solving

i. Coordinate with internal teams and delivery partners to resolve logistics issues promptly.

ii. Provide delivery updates and escalate delays or issues as necessary.

iii. Handle customer-related logistics queries (limited scope, delivery-focused only).

Process Improvement

i. Support continuous improvement in logistics workflows and tracking methods.

Ensure adherence to company service standards and delivery timelines.

Requirements

  • Minimum GCE O Level, SPM, or equivalent.
  • Proficient in Google Sheets and basic office software (MS Office).
  • Strong coordination and problem-solving skills.
  • Good communication skills in English and Mandarin (advantage).
  • Self-disciplined, detail-oriented, and able to work independently with minimal supervision.
  • Prior experience in logistics, delivery coordination, or admin support is an advantage.
