Job Summary

We are seeking a proactive and detail-oriented Executive, Operations & Administration to support operational excellence within a dynamic security environment. This role goes beyond administrative coordination to include process optimisation, stakeholder management, and operational readiness, making it ideal for individuals with experience or interest in security operations.

Key Responsibilities

  • Operational Coordination & Stakeholder Management
    Act as a key liaison between Operations, internal departments, and external stakeholders to ensure seamless execution of daily activities and projects
  • Inventory & Asset Management
    Oversee the lifecycle of operational equipment and assets, including tracking, replenishment, and disposal, ensuring operational readiness and compliance
  • Procurement & Logistics Oversight
    Manage purchase requests, monitor delivery timelines, and coordinate issuance of logistics and operational supplies to support frontline operations
  • Training & Capability Development
    Coordinate training registrations, scheduling, and logistics, supporting workforce readiness including PRD-related training where applicable
  • Reporting & Compliance
    Consolidate and submit operational reports to Finance and HR, ensuring accuracy, timeliness, and compliance with organisational and regulatory standards
  • Records & Audit Management
    Maintain comprehensive and accurate records across inventory, procurement, training, personnel, and clearances to support audit and inspection requirements
  • Claims & Time Management Administration
    Review and process transport claims and time sheets to ensure accurate reimbursement and attendance tracking
  • Continuous Improvement
    Identify opportunities to streamline processes, improve operational efficiency, and enhance administrative workflows
  • Ad-hoc Support
    Support operational initiatives and projects as assigned, contributing to overall team effectiveness

Requirements

  • Diploma or Degree in Business Administration or a related discipline
  • Minimum 3 years of relevant experience in operations, administration, or coordination roles
  • Exposure to or understanding of the private security industry experience in PRD or uniformed services will be an advantage
  • Familiarity with ISO standards and SAP systems is preferred
  • Strong organisational and multitasking abilities, with attention to detail
  • Proficient in Microsoft Office, especially Excel for reporting and tracking
  • Effective communication and stakeholder management skills
  • Able to work independently in a fast-paced, operations-driven environment
  • Positive attitude with a willingness to learn and adapt
