Roles & Responsibilities

Job Description / Responsibilities

  • Provide full administrative support to project managers, site engineers, and management
  • Handle daily office administration including correspondence, filing, and record keeping
  • Prepare, manage, and maintain construction project documentation (contracts, drawings, permits, submissions)
  • Assist with submission and tracking of documents to authorities (e.g. BCA, MOM, LTA, PUB, SCDF where applicable)
  • Coordinate meetings, site briefings, and prepare meeting minutes when required
  • Maintain document control systems in compliance with company and regulatory requirements
  • Support procurement processes including purchase requisitions, purchase orders, and delivery tracking
  • Liaise with suppliers, subcontractors, consultants, and clients on administrative matters
  • Assist with invoicing, cost tracking, and payment documentation
  • Support manpower administration including attendance tracking, site passes, and onboarding documentation
  • Coordinate with HR on work permits, insurance, and related manpower records
  • Assist with safety documentation, permits-to-work, and compliance records
  • Perform ad-hoc administrative duties as assigned

Requirements

  • Diploma or Degree in Business Administration, Construction Management, or related discipline
  • Familiarity with construction documentation and site operations is an advantage
  • Knowledge of local authority submissions and regulations will be an added advantage
  • Proficient in Microsoft Office (Word, Excel, Outlook)
  • Strong organisational skills with attention to detail
  • Good communication and interpersonal skills
  • Able to work independently and manage multiple tasks in a fast-paced environment
