We are boutique law firm seeking a reliable and detail-oriented Administrative Assistant with basic accounting knowledge to support our team.
Administrative & Legal Support
- Manage front desk operations and serve as the first point of contact for clients and visitors
- Answer phone calls, take messages, and direct enquiries professionally
- Greet clients courteously and notify lawyers/staff of arrivals
- Handle incoming and outgoing mail, deliveries, and couriers
- Maintain reception area and meeting rooms in a neat and professional manner
- Provide administrative support to lawyers and legal staff
- Handle correspondence, filing, scanning, and document management
- Assist with preparation, formatting, printing, and binding of legal documents
- Manage schedules, appointments, and meeting arrangements
- Coordinate courier services and external vendors
- Maintain strict confidentiality of client and firm information
Billing & Accounting Support
- Prepare legal bills/invoices and issue official receipts
- Record payments, receipts, and disbursements
- Maintain client accounts and billing records
- Track outstanding invoices and follow up on payments
- Handle petty cash, reimbursements, and payment documentation
- Liaise with clients on billing and payment matters
- Work closely with lawyers on billing and disbursement issues
Requirements
- Prior experience in a law firm or professional services firm is an advantage
- Basic knowledge of bookkeeping and accounting principles
- Proficient in Microsoft Office and Excel
- Meticulous, organised, and able to work independently
- Strong sense of confidentiality and responsibility
