Job Summary
You will support the firm's finance, billing, and administrative functions by ensuring accurate financial records, timely invoicing, and efficient accounting operations.
Responsibilities
- Manage accounts payable and accounts receivable processes to maintain accurate financial transactions
- Operate Corematter accounting software to process and track financial data
- Prepare and issue invoices, receipts, credit notes, and statements of account with accuracy and timeliness
- Monitor outstanding client payments and conduct professional follow-ups to ensure collections
- Perform daily bank reconciliations and monitor cash flow to support financial stability
- Process staff claims, reimbursements, and petty cash records to maintain accurate expense tracking
- Assist with monthly financial closing, journal entries, and preparation of management reports
- Maintain organised and accurate accounting records and supporting documentation
- Prepare legal bills based on lawyers instructions, time costs, disbursements, and fee structures to ensure correct billing
- Ensure prompt and accurate issuance of invoices and maintain billing schedules to meet deadlines
- Track collections and update payment status reports to provide clear financial visibility
- Liaise with lawyers regarding work-in-progress (WIP), billing progress, and client payment matters to facilitate smooth operations
- Assist management with budgeting, cost control, and finance-related reporting to support strategic decisions
- Support office administration and perform ad hoc duties as required to maintain operational efficiency
- Maintain organised filing systems for finance and billing documents to ensure easy retrieval and compliance
Preferred competencies and qualifications
- Diploma or Degree in Accounting, Finance, Business, or related discipline
- 1-3 years of relevant experience, preferably in a law firm or professional services environment
- Knowledge of Singapore accounting practices
- Proficiency in Microsoft Excel, Word, and accounting software such as Corematter
- Strong numerical accuracy and attention to detail
- Effective communication and follow-up skills
- Responsible and discreet handling of confidential matters
