Job Description

Role: VP, PMO

Duration: 12 months (renewable)

Location: Changi

Responsibilities

The Project Support Officer is responsible for a diverse range of activities to support the delivery of projects within our client's Project Portfolio. The role enables the smooth running of projects by supporting Project Managers through the operation of project management processes, and the coordination of administration and management activities on their behalf.

Project Management Processes

  • Assist with and maintain appropriate processes and practices to enable effective planning and scheduling.
  • Act as the focal point for oversight of project processes including vendor and contract management, contract approval, and financial management, including transfer pricing arrangements and oversight of expenditure types.
  • Manage project file documentation using robust version control.
  • Organise key project meetings and provide secretariat support.
  • Assist in maintaining project controls and producing project reports.
  • Maintain stakeholder logs and meeting minutes for internal and external stakeholders.
  • Act as a focal point for project responses to requests for information.
  • Monitor project spend and contribute to the compilation of project budgets.
  • Maintain risk and issue logs, escalating when necessary.
  • Assist in preparing and obtaining approvals for project documents such as Status Reports, AFA, and other governance documents.

Stakeholder Engagement

  • Advise Project Managers on tools and techniques for managing various stakeholder relationships within the organisation.
  • Provide assurance to Project Managers on the effectiveness of stakeholder management arrangements.
  • Collaborate with key stakeholders including regional functional leads, project implementation teams across countries, and Tokyo Head Office to support reporting and ensure smooth implementation of project management processes, standards, and tools across the APAC region.
  • Build and maintain relationships with key stakeholders including teams managing dependencies, administration teams, and second-line assurance teams.

Project Performance Monitoring, Risk & Issue Management

  • Establish project processes and standards for managing risks and issues.
  • Provide assurance to the Project Manager on the effectiveness of risk and issue management arrangements and timely status reporting.
  • Implement and support frameworks to monitor and measure project performance including scope, schedule, budget, and quality.

Track project progress and outcomes.

  • Collect and analyse project data such as KPIs and performance metrics.
  • Provide project status updates and reporting to senior management and key stakeholders.

Continuous Improvement

  • Identify opportunities for process improvement and operational efficiencies within project standards and processes.
  • Support lessons learned sessions and incorporate best practices into future project management initiatives.
  • Stay updated with industry trends and best practices in project management.

Requirements

  • 5-10+ years of relevant experience.
  • Proven experience in Project Management or Project Management Office (PMO) roles, preferably within the financial services industry.
  • Strong knowledge of project management methodologies, tools, and techniques.
  • Excellent leadership, communication, and stakeholder management skills.
  • Ability to drive consensus among stakeholders with competing interests while balancing budget, timelines, and risk.
  • Experience working with geographically distributed teams and complex vendor landscapes.
  • Bachelor's degree in business administration, Project Management, or a related discipline.
  • Ideally holds a Project Management Institute (PMI) certification or equivalent,or is in the process of obtaining one (e.g., PMP, Agile certifications).
  • Experience in contract management and project cost management.
  • Ability to prepare and present management-level reports and updates.
