Job Purpose
The Senior Executive of Volunteer Management is responsible for the full life cycle of volunteer engagement-from recruitment and onboarding to training, retention, and recognition-while ensuring alignment with the charity's mission and operational needs. The position works closely with programme leads to ensure volunteers are deployed effectively and compliantly, and acts as the main point of contact for corporate volunteers, individual volunteers and Campus Chapters (if any).
Job Scope
1. Recruitment & Onboarding of volunteers
- Design and implement volunteer recruitment campaigns to attract diverse and capable volunteers.
- Build partnerships with schools, corporates, and community partners to expand volunteer pipelines.
- Conduct recruitment, screening, interviewing, and matching of volunteers to roles.
- Conduct smooth onboarding and orientation processes, which includes organization introduction and specific programme briefings
- Collaborate with Communications & Marketing and Resource Development to plan and execute membership campaigns and promotional initiatives.
- Collaborate with Programmes team to plan and execute volunteer recruitment and briefings.
2. Volunteer Engagement and Development
- Develop, train and sustain volunteers to ensure programme sustainability and emergency activation.
- Develop and implement volunteer recognition and appreciation initiatives, strengthening motivation and retention.
- Build a positive volunteer culture that fosters belonging, purpose, and recognition.
- Manage feedback channels and take corrective action to improve volunteer experience.
- Identify development opportunities for long-term volunteers in leadership or specialist roles.
- Identify suitable volunteer profiles for feature stories and media as necessary.
3. Operational & Risk Management
- Respond to enquiries regarding volunteering sessions.
- Data management of volunteers information on CRM and any other systems.
- Ensure compliance with relevant laws, safeguarding policies, data protection standards, and health & safety guidelines.
- Develop contingency plans for volunteer staffing to support programme continuity.
- Administrative coordination between volunteers or corporate partners on waiver forms collection, any other related forms and issuance of invoices and receipts
- Manage post-session coordination and communication including post session thank-you notes, compile feedback to improve internal processes and future session recruitment
4. Stakeholder & Community Partnerships
- Represent and promote our brand and thought leadership at external meetings, conferences, and outreach events.
- Collaborate with internal departments to understand volunteer needs.
5. Reporting & Evaluation
- Maintain accurate volunteer records and documentation on CRM and any other systems used by the organization.
- Analyse volunteer participation trends and provide insights for strategic decision-making.
- Compile reports for the Board, Asia Pacific and International counterparts on a regular basis.
Any other duties as assigned by the National Director.
A successful candidate would be someone who is
- A tertiary graduate with a minimum of two years of volunteer engagement experience in charity, socialservices, or non-profit sector..

- Not afraid to getting their hands dirty and work on the ground.
